When FreshBooks makes more sense than QuickBooks Online

Most of our clients land on QuickBooks Online, but not every business needs full double-entry accounting on day one. For consultants, freelancers, and service businesses whose main financial activity is sending invoices and getting paid, FreshBooks is often the better fit. Here's why, and where it stops making sense.


Pricing is based on clients, not features

FreshBooks prices its plans around how many billable clients you have, not around how complex your books are:

  • Lite ($23/mo): up to 5 billable clients.
  • Plus ($43/mo): up to 50 billable clients.
  • Premium ($70/mo): unlimited billable clients.
  • Select: custom pricing for larger operations, negotiated directly.

Annual billing brings each tier down by about 10%. For a consultant with three or four regular clients, Lite covers everything needed without paying for capacity that won't get used. That's a different way of scaling than QuickBooks Online, where the tiers are built around users and features rather than client count.


It's built invoice-first

FreshBooks automates the parts of the business that a service provider deals with constantly: invoice creation, online payment acceptance, expense tracking, billable time tracking, and financial reporting. The interface is built around getting an invoice out and getting paid, not around a general ledger you have to learn to navigate.

For a business that lives and dies by cash flow from client invoices, that focus is the appeal. It's simpler to use day to day than a full accounting platform, because it wasn't built to be one.


The add-ons add up

The base plan price only tells part of the story. Additional team members cost $11/user/month on any plan. Advanced Payments, which includes recurring billing and in-person card payments, runs $20/month. Payroll is a separate add-on at $40/month plus $6/employee. Payment processing runs 2.9% + $0.30 per card transaction (higher for American Express), and 1% for US ACH transfers.

None of that is hidden, but it means a solo consultant's bill looks very different from a small team's bill once a couple of add-ons and team members are in the mix.


Where it's not the right fit

Once a business needs true double-entry accounting depth, inventory tracking, or a large team with multiple users, the per-user and per-client cost structure stops making sense, and QuickBooks Online becomes the better platform. FreshBooks is built for the invoicing side of a service business, not for a business that's grown past that.
