This policy describes what information Prism Consulting VA, LLC collects, how we use it, who we share it with, and what choices you have. We try to collect only what we need, share only when required, and be clear about both. If anything's unclear, contact us at hello@prismconsultingva.com.

This is a starting template and requires privacy specialist review before launch for VCDPA, CCPA, and any applicable regulations.

1. Who this policy covers

This policy covers your use of prismconsultingva.com and the information collected about you when you visit the site, contact us, or engage us for services. Information collected during a paid engagement is also governed by your engagement agreement.

2. What we collect

Information you give us:

• Name, email, phone, and business name when you fill out the contact form or book a Vibe Check
• Message content when you write to us
• Email address (and optionally your name) when you download a free resource or guide from the site
• Financial and operational data when you engage us for services (governed primarily by your engagement agreement)

Information collected automatically:

• Standard server log data (IP address, browser type, pages visited, timestamps)
• Cookies and similar technologies (see section 5)

3. How we use it

• To respond to your inquiries and schedule conversations
• To deliver services under signed engagement agreements
• To deliver resources you request and follow up about related Prism services (you can unsubscribe from those emails anytime)
• To improve the website (which posts get read, where visitors come from, what's broken)
• To comply with legal and regulatory requirements

We do not sell your personal information. We do not share it with third parties for their marketing purposes. Any marketing follow-up is from Prism directly — not from advertisers or data brokers.

4. Who we share it with

We share information only with:

• Service providers who help us run the business (website host, scheduling tool, email platform, payment processor) under contracts that limit their use of the information
• Legal and regulatory authorities when required by law or court order
• Successors in the event of a sale or merger of Prism Consulting VA, LLC

For client engagement data specifically (your books, your tax returns, your payroll), we share only as authorized in your engagement agreement and as required to deliver services (for example, with the IRS for filings you've authorized).

5. Cookies and tracking

The site uses cookies for basic functionality (remembering preferences) and analytics (understanding which pages get read). You can disable cookies in your browser, though some site features may not work as expected.

We do not currently use third-party advertising trackers.

6. Data security

We use reasonable administrative, technical, and physical safeguards to protect the information we collect. This includes encryption in transit, access controls, and regular review of who has access to what. No system is perfectly secure; we do our best.

7. Data retention

We retain inquiry information (form submissions, emails, and resource-download leads) for 2 years unless you ask us to delete it sooner or unless ongoing engagements require longer retention. Engagement data is retained per the terms of your engagement agreement and applicable record-keeping laws (the IRS requires certain tax records be retained for at least 7 years).

8. Your rights

Depending on where you live, you may have the right to:

• Know what personal information we have about you
• Request a copy of that information
• Correct inaccurate information
• Request deletion of information (subject to retention requirements)
• Object to certain uses of your information

9. Children's privacy

This site is not directed at children under 13, and we do not knowingly collect information from children under 13.

10. Changes to this policy

We may update this policy occasionally. The last-updated date at the top reflects the most recent revision. We'll notify you of material changes via email if we have your address on file.
