It starts with a Vibe Check
A Vibe Check is a free, no-pressure conversation, not a sales pitch. We talk about your business: what's working, what's not, what's keeping you up at night. You ask us anything you want about how we operate. By the end, we'll tell you plainly if Prism is a good fit, including if the honest answer is that you don't need us yet.
No intake form to fill out beforehand, no pressure to decide on the spot. Some businesses aren't ready for outsourced bookkeeping, and we'll say so. The goal of a Vibe Check is clarity for you, not a signed contract for us.
Getting your books current
If you're behind, months or years, that's not disqualifying. It's the most common starting point we see. The first phase of onboarding is getting your books caught up and cleaned up so we're working from an accurate baseline instead of building on top of a mess.
How long this takes depends on how far behind things are and how complex the business is. We'll give you a real timeline once we've looked at your actual books, not a generic estimate. There's no judgment attached to any of this. It's never as bad as you think, and even when it is, that's exactly the situation we're built to handle.
What ongoing support looks like
Once you're current, the relationship shifts into a monthly rhythm (if you want). Your books get reconciled and categorized on a schedule, not whenever someone gets around to it. You get reports that come with an explanation of what the numbers mean, not a PDF dropped in your inbox. And because Prism's model is integrated, whoever handles your books is connected to whoever handles your taxes and, if you're at that tier, your HR and your strategy conversations. Nothing gets lost between providers, because there aren't separate providers.
You'll hear from us before problems become expensive. A margin that's slipping, an estimated tax payment that's coming up, a hiring decision that has payroll implications you hadn't considered. This is the part of the job that matters most and shows up the least in a service description: catching things early because someone is looking at your numbers regularly, not just at tax time.
Where the relationship goes from there
Prism's service model scales with you. Bookkeeping is the foundation. From there, businesses add Payroll, then Team support, then move into Full Back-Office as their needs grow. Nobody gets pushed into a tier they don't need. If Bookkeeping alone covers what you need this year, that's where you stay, and we'll tell you directly when it's time to consider more, not before.
This is meant to be a year-round relationship, not a seasonal transaction. The bookkeeper who disappears after tax season and the tax preparer who only shows up in March both leave gaps. Prism's model is built so there's twelve months of context behind every conversation, not a stack of receipts handed over once a year.
